The challenge

New and existing staff regularly asked the same process questions, and the answers were scattered across SOP documents, spreadsheets and group chats that were slow to search.

The solution

A proof-of-concept assistant was built on top of the company's existing SOPs and internal documents, so staff could ask a question in plain English and get an answer with a link back to the source document.

The outcome

Prototype answered common staff questions accurately from existing SOP documents.

What I learned

The quality of the answers depended far more on how the documentation was structured than on the AI model itself. Good internal tools start with tidy source material.
